The Challenge
OTS wanted an application that could eliminate all of their manual processes. They aimed to track each PA request with specific statuses and reduce the friction associated with manual PA request initiation or processing. They required centralized, secure data management to store all CMM accounts and PA criteria, allowing them to access this information whenever needed.
At start they had 4 different users and they need the personalized user flow:
Admin: He should have full access to initialize the PA Request, invite pharmacies and prescribers, manage all CMM accounts, oversee staff workloads, coordinate departments, and keep track of each request.
Pharmacy: They should be able to Initiate, view , respond to PA requests and manage their prescribers
Prescriber: They should have access of related requests and can respond to the require processing
Staff (Rep): They should have access to the assigned PA requests and process them for the next step. They should be notified if any request is approved, denied, assigned, or if anything is triggered by the admin, pharmacy, or prescriber regarding any request.

Challenges
Ammar needed to understand the entire prior authorization process. He aimed to map out the user journeys and was curious about the business goals and user motivations. He had to explore the Elation EMR and CoverMyMeds (CMM) to learn how to integrate them into the OTS application for a streamlined prior authorization process.
He conducted user research with admins, pharmacies, prescribers, and staff to understand their different perspectives, goals, mental models, and what they wanted to achieve in various contexts.

With the help of vibe-coded design(V0), Ammar generated various user flows for each user type and tested them in the early stages. His goal was to save company resources by testing first and improving before the development phase, ultimately saving time on back-and-forth development.

Ammar played with various design directions and even tested them with users and stakeholders. In the end, he settled on a minimalist approach because it is calm and easy to understand.
Ammar is building the design system in that direction and has started to translate the research, ideas, and strategy into an interactive mockups.

AI Generation
Ammar learned how the system prompt works under the API for Progress Notes generation and converts those data points into a concept-oriented animation and visualization.



Outcome
Over 100 pharmacies were onboarded in the beta version, which is 50% more than the previous RIO. Many more are on the way. The trust rate among pharmacies and prescribers has risen to 90% thanks to this secure and centralized database, and staff satisfaction has reached 95%.

Automation Diagrams
The automation team dedicated countless hours to streamline the manual tasks of the rep team, which were wasting time. With around 100 statuses, each triggered specific automations running in the background. Aiimi managed the technical aspects, converting these automations into user-friendly visual diagrams for backend developers to implement in the codebase.
